Communication as we speak up it is sending or receiving messages, thoughts, or feelings from one person to one or more persons in such a way that the person receiving it understands it, in the same way, the sender wants him or her to understand it. This is often the difficult part and that’s why the ability to communicate effectively is so important.

Communication has a huge role to play in our personal and professional lives.   • Then we have the message, the message is the subject matter of the communication, and it can be a set of words, images, and gestures that are used to convey what the sender wants to say.
  • Next, we have the channel. This is how the message is sent or transmitted to the receiver it could be in the form of a live conversation, or a phone call, or by email.
  • Then we have the receiver, the receiver is the audience for the message.
  • Finally, we have the feedback element and which is the receiver’s response to the sender’s message.

Now, these five elements can be applied to all methods of communication, whether informal or formal. In a casual conversation with a friend, elements may not seem as discrete compared to in a team communication network however they still exist.

Let’s have a look at an informal conversation and see how the communication loop applies to it.

Example: Informal Communication
  • So say I’m sending a WhatsApp message to my friend the sender is myself.
  • The message can be a combination of text may be emoticons, voice messages, and images.
  • The channel is the mobile app that I use.
  • The receiver is my friend.
  • And the feedback element is my friend’s reply.

Now can you think of an example of how the communication loop applies to a formal setting?

Imagine you are delivering a speech at a conference, as the speaker you are the sender your message is made up of oral words and gestures the channel via which you convey your message is live delivery. The receiver element is the audience and the reaction is the feedback element.

Face to Face

Audio and Video

Audio is a voice-only mode of communication such as making a phone call. Audio is also an instant communication mode but communicators don’t have the benefit of seeing each other. Audio communication has recently been enhanced with the introduction of video, which allows us to simulate an in-person conversation when parties are not in the same location.

Text communication includes any form of written communication such as text messages, e-mails, newspapers, and books. Text communication is much easier to use when you need to distribute information to a large group of people or want to save a record of that communication. The way we communicate on a regular basis can be bucketed under three different methods which are as follows-

Two-way communication is an exchange of information between two parties where both parties transmit information to each other. Such as during a phone call or an in-person meeting.

Collaborative communication

Collaborative communication on the other hand usually involves the groups and there is collective information flow. Such as during a team meeting or even a family discussion.

Let’s now apply these methods specifically to workplace communication and try to think of examples of each.

One-way communication

An example of one-way communication at work could be a memo sent out to all staff or a voicemail left for a colleague.

Two-way communication

A lunch meeting with a colleague is a form of two-way communication as are emails sent back and forth between your boss and yourself.

Collaborative communication

When you have a team discussion or group problem-solving session then you are engaging in collaborative communication.

Taking this step further communication can also be classified under three specific modes which are as follows-

Interpersonal mode

Because it is a two-way exchange interpersonal communication has a higher chance of success than the other two communication modes. It’s also very often spontaneous, Unlike the other modes.

Interpersonal mode is most obvious during the conversation which involves both speaking and listening but it can also be achieved through reading and writing such as the exchange of instant messages.

Interpretive mode

The interpretive mode is one-way receptive communication. Where the audience is not able to actively engage with the sender but just receives their message. This form of communication involves listening, reading, and viewing.

Examples of interpretive communication– e.g of listening– to be listening to the radio or a speech, e.g of reading– could be reading stories, blogs, and even maps or signs, and e.g of viewing- include television shows and movies.

But what’s common amongst all these examples is that this mode involved the message being sent out which the audience must be interpreted and that’s why the name comes.

Presentational mode

The presentational mode is also one way. It is targeted communication that is directed at an audience such as readers, listeners, or viewers. But it’s simply a presentation of Information and not an exchange. There is no direct opportunity for the audience to engage with the presenter.

Presentational communication usually occurs when concepts and ideas are presented in order to inform or explain something to the audience. An example of this is a documentary in which facts and events were presented or a brochure used to advertise services.
